This Privacy Policy explains how WhatsAppRO handles information when businesses and their authorised users access our website, customer messaging platform, CRM tools and official WhatsApp Business Platform integrations.

WhatsAppRO provides software that helps businesses manage customer conversations, contacts, leads, media, templates, team access and related activity. Each business remains responsible for its own customer communications, lawful notices, consent and use of personal data.

1. Scope and roles

This policy applies to the WhatsAppRO website at whatsappro.in, the business application at app.whatsappro.in, related support channels and integrations operated for the service.

For account, billing, security and service-administration data, WhatsAppRO acts as the organisation deciding why and how that information is processed. For customer conversation data uploaded or received by a subscribing business, WhatsAppRO generally processes information on that business's instructions. The subscribing business is responsible for its relationship with its customers.

2. Information we collect

Account and business information

  • Name, business name, email address, telephone number, role and login information.
  • Subscription, billing status, plan entitlements and transaction references. Full card details are handled by the relevant payment provider and are not stored by WhatsAppRO.
  • Business configuration such as connected WhatsApp Business Account identifiers, phone-number identifiers, message templates and webhook status.

Messaging and CRM information

  • Customer names, telephone numbers, WhatsApp identifiers, messages, media, delivery status and timestamps.
  • Contacts, lead stages, notes, assignments, follow-ups and activity records entered by authorised workspace users.
  • Support requests and communications sent to WhatsAppRO.

Technical information

  • IP address, device and browser details, session identifiers, security logs, error records and usage events required to operate and protect the service.
  • Cookies or similar technologies needed for authentication, preferences, fraud prevention and service reliability.

3. How we use information

  • Provide, maintain and improve the WhatsAppRO website, CRM, inbox and messaging features.
  • Authenticate users, protect accounts, prevent fraud and investigate security incidents.
  • Connect authorised business assets, send and receive messages, retrieve media and process delivery events.
  • Administer subscriptions, billing, customer support and service notices.
  • Comply with applicable law, enforce agreements and protect the rights and safety of users, customers and the platform.
  • Create aggregated or de-identified operational insights that do not identify individuals.

We do not sell personal information. We do not use customer message content for unrelated advertising.

4. WhatsApp and Meta services

WhatsAppRO uses the official WhatsApp Business Platform and Meta APIs when a business connects its WhatsApp assets. Information required to deliver messages and related functionality may be transmitted to and received from Meta Platforms, Inc. and its affiliates in accordance with the business's Meta agreements and Meta's applicable terms and privacy policies.

  • Businesses connect or authorise their own WhatsApp Business Account and phone number.
  • Access credentials are intended to be encrypted in storage and used only for authorised API operations.
  • Message content, recipient identifiers, media and status events may pass through Meta's systems.
  • WhatsAppRO is an independent service and is not WhatsApp or Meta. WhatsApp is a trademark of its respective owner.
Business responsibility

Businesses must communicate only with people they are permitted to contact, honour opt-outs, use approved templates where required and comply with WhatsApp Business Messaging policies and applicable law.

5. When information may be shared

We may disclose limited information to service providers that help us operate hosting, databases, security, communications, analytics, support or payment processing, subject to appropriate obligations. Information may also be disclosed:

  • At the direction of the subscribing business or authorised workspace user.
  • To Meta/WhatsApp and other integrations selected by the business.
  • When required by law, legal process or a valid government request.
  • To investigate abuse, fraud, security threats or violations of our terms.
  • As part of a merger, acquisition, financing or sale, with appropriate safeguards and notice where required.

6. Data retention and international processing

Information is retained only for as long as reasonably needed to provide the service, meet contractual and legal obligations, resolve disputes, protect security and maintain legitimate business records. Retention periods can vary by data type, subscription status and business instructions.

When an account or workspace is deleted, data may remain temporarily in protected backups or logs before scheduled deletion, unless a longer period is required by law or necessary for security and dispute prevention. Service providers, including Meta, may process information in countries other than the user's country under their own infrastructure and safeguards.

7. Security

We use reasonable administrative, technical and organisational measures designed to protect information, including access controls, session protection, encryption for sensitive credentials, webhook signature verification, database isolation between workspaces, monitoring and backups.

No internet service is completely secure. Users must protect their passwords, devices and Meta credentials, restrict team permissions and notify us promptly of suspected unauthorised access.

8. Your rights and choices

Subject to applicable law, individuals may request access, correction, deletion or restriction of personal information, withdraw consent where processing relies on consent, or raise a concern about how information is handled.

If your information belongs to a business using WhatsAppRO—for example, you messaged that business on WhatsApp—contact that business first because it controls the customer relationship. We will assist the business with valid requests where appropriate.

9. Children's privacy

WhatsAppRO is a business service and is not directed to children. Users must be legally capable of entering the applicable agreement and must not knowingly submit children's personal information without a valid legal basis and appropriate authority.

10. Changes to this policy

We may update this policy when the service, legal requirements or processing practices change. The revised version will be posted at this URL with an updated effective date. Material changes may also be communicated through the application or registered contact details where appropriate.
